AI & automation

Follow up on offers automatically: with clear rules and AI.

A follow-up workflow needs more than a delayed email. How to connect quote status, customer responses, AI support and human accountability.

After an offer has been sent, it must be clear what happens next. Who manages the sales opportunity? When is feedback agreed? Has the customer already responded? Without a common database, duplicate or inappropriate messages can easily arise.

An automated follow-up process therefore begins with the offer status and responsibilities in the CRM. AI can classify information or prepare a draft. Whether a message is sent automatically or requires approval first depends on the agreed process.

What information the process requires

If reliable information is missing, the process should request an audit. An unclear status is not a good basis for further messaging. Overwriting a manual next step must also be prevented.

  • The right contact person and the corresponding sales opportunity.

  • Offer date, offer version and current status.

  • Responsible person and agreed next step.

  • Relevant customer responses and activities already carried out.

  • Rules for releases, pauses, exclusions, and process completion.

A possible workflow in five steps

First: The offer is sent after the planned review and documented in the CRM. Second: The system takes the agreed next step. Third: Before a follow-up, it checks status, responses and exceptions. Fourth: A suitable draft is prepared or a task is handed over to the responsible person. Fifth: The result and further activity are recorded again in the process.

The distances are not a universal template. A time-critical offer, a complex consulting project and an already agreed callback require different processes. The workflow must be able to reflect these differences instead of always sending the same sequence.

What is meant by AI scans

AI can evaluate suitable, accessible information from the customer history and distinguish between a query, a later need and a rejection. Based on the existing context, a draft for the next step can be prepared. Which data is used for this is determined for the specific solution.

An AI suggestion remains verifiable. If there are contradictory statements, a lack of context, or an important business decision, the process can be handed over to a human. The draft should not invent prices, promises or customer statements.

Stopping rules belong before shipping

It must be possible to suspend a new contact attempt when the customer has responded, an appointment has been made or the sales opportunity has been closed. Further exclusions arise from the company and the specific communication process.

Please check these conditions as close as possible to the shipping time. A previously created task or scheduled message may now be obsolete. Also document why a step was performed or skipped so that the team can understand the process.

How do you recognize the benefit?

Observe whether open offers have an assignee and a current next step. Check for feedback, duplicate messages, manual corrections, and abandoned processes. A high number of emails sent alone says little about the quality of the process.

Systemlink connects quotation processes with CRM, automation and individual AI support. The starting point is your actual sales process; This creates the rules, tests and integrations of the solution.

Example: a reply must stop the next send

In an illustrative sequence, an offer is sent and a later reminder is prepared. If the customer responds before this point, the system must check the actual status again. A dispatch that has already been planned may not take place simply because there was no response when it was first scheduled.

What is crucial is a joint view of the offer, message and CRM status. Making an appointment may require a different next step than a cancellation. The specific waiting time is determined with sales; There is no universally suitable rhythm for every offer.

What an AI scan can and cannot check

AI can classify an incoming message for further processing or summarize open questions. It must indicate missing or ambiguous information. A suspected purchase intention is not a confirmed commitment, and an automatically formulated text may not invent a new price or scope of services.

In particular, test short replies, forwards, out-of-office messages, and conflicting messages. For cases that cannot be processed safely, the team needs an understandable task with the original context.
