Customer onboarding & project processes
From completion to customer project ready to start.
Systemlink connects CRM completion, customer data, project start and internal handovers. Individual onboarding automation for companies in Switzerland and Germany.
Closing the sale starts the next handover
After an offer has been won, several people need the same information: What was agreed upon? Who looks after the customer? Which documents are missing? When can the service start? If this information is re-transmitted into forms, project tools and tables, avoidable queries arise.
We connect the conclusion in CRM with the subsequent customer onboarding and your project processes. The process depends on your performance, the roles involved and the existing tools. A coaching program requires different steps than an individually planned consulting project.
Clear starting conditions instead of an uncontrolled trigger
A single CRM status should not start all follow-up actions without being checked. We define together when an order is actually ready: What information must be confirmed? Is a signature or payment verification required? Who can approve the start?
How a change is handled must also be clear. If the scope is adjusted or an order is canceled, the process must not continue unnoticed in the old state. Customers, accesses and projects that have already been created are recognized based on clear assignments.
Which work steps can be combined
We first define a consistent process and check the interfaces of the existing systems. Which steps are automated is decided based on your process.
Transfer confirmed customer data from the CRM to the agreed target systems.
Create a project, tasks and responsibilities based on a suitable template.
Request necessary documents and keep their receipt traceable.
Trigger access or internal handovers after the agreed releases.
Inform team and customers about the actual next step.
Make exceptions visible and hand them over to a responsible person.
Connect project management with the customer process
A project tool does not replace a coordinated way of working. We clarify which milestones demonstrate progress, how those responsible change and when a task is considered completed. The CRM doesn't need to duplicate every project field; it should receive the information relevant to customer service and management.
Templates can be helpful for recurring services. They are adapted to your cases and given clear exceptions. A special project should not be forced into a standard grid just because a template already exists.
Rollout and verifiable acceptance
The test includes a complete standard case, a missing mandatory field, a changed order and an existing customer. We not only check whether a task has been created, but also whether the responsible person can work with it and the next handover is complete.
Possible metrics include the time until the project starts, missing documents, open handovers and queries between the teams. The delivered processes are documented and supported to the agreed extent. Additional services or new project types are planned as further development.
